Round off features:
|
There is two ways to round off attendance records in the Timekeeper 2000 software. Rounding by shift. Rounding by 15-minute increments.
Rounding by shift.
The purpose of this round off feature is to eliminate any extra minutes that the employee’s record has before their on duty time and after their off duty time, also by assigning shifts and linking them to your employees will allow you to create on time & tardy reports. The range in minutes of before and after can be set from 1 to 30 minutes. Once set if the employee’s records fall into this range, then the records will be rounded off according to the assigned shift. To round off by shift first enter the shift or shifts for each employees and also enable them in the employee control section, you must enter the desired amount of minutes to round off before and after, then you can assign each employee to one or more shifts in the employee control. Example: If an employee has an assigned shift from 9am to 6pm with 20 minute rounding and he clocks in at 8:49am and clocks out at 6:06pm, once the round off feature is activated, it will change these records to 9am and 6pm correspondently, also using the same shift with the same hours but with 5 minute rounding instead of 20, it will not round off or change any of the records because 5 minutes will be outside of the rounding range, in this example is 11 minutes before 9 and 6 minutes after 6 not 5 minutes as the example.

Assigning shifts to employees:
1) Click on Settings and enter the start and end time for each shift, with the desired round off range, in this example the first shift is the one we are going to use and set it to 9am to 6pm with 20 minutes round off range.
2) Now assign the employee to the desired shift by going to employee control, then double click on the employee in reference and check mark the shift or shifts this employee works and click save to save your selection.

Rounding Off by Shifts:
1) In the employee list, click on the employee in reference and as the example below shows the records for the employee in reference, clocked in at 8:49am and clocked out at 6:06pm on Monday and clocked in at 8:35am and clocked out at 6:34pm on Tuesday.
|
|
2) To round off, click on the employee list tab and by clicking on the round off selected employee button to round off one employee at a time or click round off all employees button to round off all employees at once within their assigned shift or shifts. In this example we clicked round off selected employee. The picture below shows the modified records based on the round off feature settings. In this case for Monday 9am and 6pm correspondently because 8:49am and 6:06pm fell into the range for the round off settings and records for Tuesday stayed the same because they were out of the round off range.

Rounding by 15 minutes increments.
This round off feature will change all records to the any quarter (15 Min) of an hour. 15, 30, 45, 00.
The default settings are set as follows for this round off feature. (at 53 minutes or after will change to 00 at 7 minutes or before) (at 08 minutes or after will change to 15 at 22 minutes or before) (at 23 minutes or after will change to 30 at 37 minutes or before) (at 38 minutes or after will change to 45 at 52 minutes or before)
This round off tool does not require a shift to be assigned to an employee in order for it to work, it can also be use together with the rounding by shifts feature, this will modify the records to the quarter hour if they fell into the round off range for the assigned shift.
To make this round off feature work independently and not using any shifts, so it modifies all records to the quarter hour based on the settings, check mark the Make rounding independent like the example below.
|
|
Once you have set the minutes for each quarter and if you selected the round off independent feature then go to the employee list tab and select either to round off the selected employee or round off all employees. See picture below.

|
After clicking the round off selected employee the picture below displays the modified records.
